General Conditions
Fusion 2025 commissioned AIM Group Belgium BVBA with the organisation and execution of Fusion 2025. Registration for the summit and confirmation, therefore, form a contract between the summit attendee and Fusion regarding attendance of the Fusion 2025 Summit. This contract is based on the following General Terms and Conditions.
Registration Fees and Payment
Registration for the Fusion 2025 Summit and booking of services are binding for the attendee. Any fees due must be paid in advance within 10 working days after receipt of the invoice. Registration will be confirmed once payment is received by the Fusion 2025 Secretariat.
Payment Options
All payments should be made in EURO. Attendees may choose between two methods of payment: bank transfer (available until 22 August 2025) or online credit card payment. In case of bank transfer, payment of the registration fee has to be arranged upon receipt of the invoice.
Cancellation Policy
Any change or cancellation of the registration must be sent in writing to AIM Group Belgium BVBA (fusion2025@aimgroup.eu).
Cancellation fees will be imposed as follows:
Registrants cancelling 90 days prior to the start of Fusion (24 June 2025) will receive a full refund minus a 10% administration fee.
Registrants cancelling between 89 and 30 days prior to the start of Fusion (25 June 2025 to 22 August 2025) will be refunded 50% of the amount paid – if fees are outstanding, the registrant will be liable for 50% of the amount due.
No refunds will be provided for no-shows or registrants cancelling within 30 days of the start of Fusion 2025 (after 22 August 2025) – the registrant will be liable for the full amount due.
A registered person can however be replaced without penalties until 22 August 2025. In this case, the Summit Secretariat has to be informed as soon as possible and provided with the contact details of the replacement. From 23 August 2025, an administration cost of € 25.00 incl. VAT will be charged for replacements.
Programme Changes
Fusion 2025 reserves the right to make any necessary changes to the programme at short notice. There will be no pro rata refund of registration fees for cancelled sessions or changes to the programme.
Loss of Name Badge
If an attendee loses his/her badge, a fee of € 25.00 incl. VAT is to be paid to receive a new name badge. Each congress attendee must have his/her badge to attend the event.
Liability
AIM Group Belgium BVBA is expected to handle with the diligence of a prudent business person, according to Belgian law. Regardless of course in law, the liability of AIM Group Belgium BVBA shall be limited to damages caused with a forethought or by gross negligence. However, this shall not affect the liability of the Summit Organiser and of the persons or organisations responsible for providing means of transport or other services. The participants take part in all excursions at their own risk. A verbal agreement can only be considered as binding when confirmed by AIM Group Belgium BVBA in writing.
The registrant acknowledges that participation in Fusion 2025 events and activities entails some risk and hereby assumes responsibility for his/her own safety. If someone else participates in his/her place per the Fusion 2025 registration transfer policy, the new registrant agrees to this disclaimer and waiver by default of transfer.
The Fusion 2025 local Organising Committee and the Fusion 2025 organiser shall not be responsible for any theft, breakage, destruction, or damages of any kind whatsoever and howsoever caused to personal and/or business items of registrants and their guests, or other participants.
All registrants are to make themselves fully aware of the health and visa requirements in respect of travel to Belgium. If a registrant, their guests, or other participant is unable to participate in the Fusion 2025 due to not meeting these requirements in any way, the Fusion 2025 local Organising Committee and the Fusion 2025 organiser will not accept responsibility in any respect.
Force Majeure
For reasons beyond its control (such as war, strikes, lockouts, riots or any such civil disturbances, any acts of God, including but not limited to earthquakes, floods, droughts and typhoons) and any other cause of circumstance of whatever nature beyond its control having an impact on the arrangements, timetables or planning of the Congress and its corresponding activities in Belgium, Fusion 2025 has the right to immediately alter or cancel the activities or events or any of the arrangements, timetables, plans or other items relating directly or indirectly thereto. No party involved shall be entitled to any compensation for damages that result from such alteration or cancellation.
Place of Performance, Venue of Jurisdiction
Brussels shall be the exclusive place of performance and Brussels venue of jurisdiction for all parties. Belgium law shall apply.
Visa Information
FUSION 2025 will take place in Belgium and international participants should be particularly aware of and careful about visa requirements. Please plan your travel well in advance and allow plenty of time to apply for a visa. FUSION 2025 cannot issue actual visas to attend the Summit but can issue a Visa Support Letter to assist with your visa application. Visa Support Letters are issued through the online registration system. If you require a Visa Support Letter, please complete the relevant sections when you register.
Please note that Visa Support Letters will only be issued upon confirmation of registration and after receipt of full payment. Visa Support Letters are only issued via email in PDF format and will be sent within approximately two weeks after your information and confirmation of payment is received by the FUSION 2025 Secretariat. Please make your VISA appointment as soon as possible if you intend to attend Fusion 2025, as some countries require up to 6 months to process visa applications.
